Check-In/Out Guide

Track asset assignments and returns during your event. Check out assets to staff, then check them back in when they're returned.

Checking Out an Asset

Use the Checkout page to assign an asset to a staff member. Any signed-in user can perform checkouts.

  1. Go to Checkout
  2. Enter:
    • Staff ID: Required — The person receiving the asset
    • Asset ID: Required — The asset being checked out
    • Accessory ID: Optional — A second asset or related equipment (battery, charger, cable, etc.)
  3. Click Submit
Validation: The asset and staff must exist in the system. The asset cannot already be checked out. If an accessory is provided, it must also not be checked out. If any validation fails, you'll see an error message.
What Happens:
  • Checkout record(s) created for the asset(s)
  • Asset status updates to checked out
  • Success message confirms the checkout
  • Entry appears on the Dashboard and in History

Checking In an Asset

Use the Check In page to return an asset and make it available again.

  1. Go to Return
  2. Enter the Asset ID of the asset being returned
  3. Click Submit
Validation: The asset must exist and currently be checked out. If it's not checked out, you'll see an error.
What Happens:
  • Checkout is removed (marked as completed)
  • Permanent history record created with checkout and return timestamps
  • Asset status updates to Available
  • Success message confirms the return
  • If the staff member still has other checked-out assets, you'll see a warning showing how many remain
